You can have images in your signatures in the Outlook Web App for Office 365. In order to set this up, the images must be stored online.

Adding images to your signature in OWA

1. Log into your email account at https://login.microsoftonline.com/.
2. Open OneDrive.
3. Select Upload and upload the picture you would like to use in your signature.
4. Once the image has been uploaded view the image in your OneDrive.
5. Next click Copy image.
6. Next go to Mail.
7. Go Settings (Gear icon)
8. Go to Options.
9. Under Mail -> Layout select Email signature.
10. Press the keys Ctrl - v to paste the image in your signature.
11. Make sure Automatically include my signature on messages I send is selected and click Save.

If you need to remove an email account on an Android phone please follow the below steps. Please note these instructions are generic since Android devices are varied and not always alike.

To remove an old Exchange account:
This process is required for users upgrading from one Exchange version to another only.
* Note Data (messages, contacts, etc.) that is synched with Exchange will be erased when you remove the old account but will return when you add your new account. Some data, not synched with Exchange, like notepad and phone signatures, etc. will have to be reproduced after your new account is created.

1. Go to Settings.
2. Go to Account Settings.
3. Touch the old account to be removed.
4. Press Delete.

If you need to remove an email account on your iPhone/iPad please follow the below steps.

To remove an old Exchange account:
This process is required for users upgrading from one Exchange version to another only.

1. Go to Settings.
2. Go to Mail, Contacts, Calendars.
3. Touch the old account to be removed.
4. Scroll to bottom and press Delete Account.
5. Confirm deletion by touching Delete from My Phone.

When you sign up to encrypted email you will have to activate the encryption for your SureMail account and install the Outlook toolbar before you will be able to use the service.

1. You will receive an encrypted email in your inbox that will contain a link that you will click to start the setup process.
2. You will be brought to the encryption Web Panel. FIll in your email address, name and a password. This password will be seperate from your current SureMail password. If you change your SureMail it WILL NOT change your encrypted email password.
3. Click Register.
4. Click Done! Log me in.
5. This will log you into the encrypted email web panel. To install the Outlook plugin click on Enable with Office Outlook button on the left hand side of the screen.
6. Next you should follow the on screen instructions by closing Microsoft Outlook and the downloading the plugin by clicking on Download MS Outlook Toolbar.
7. After you install the plugin click the Activate with <Your organization name> Secure Email button an confirmation email will be sent to your inbox.
8. In Outlook by double-clicking on the confirmation email.
9. You may have to restart Outlook in order for the changes to take effect.

Personal Distribution Lists (Groups)

Personal distribution lists are the lists of email addresses you create and store on your computer.  They are not transferred during the upgrade to Exchange 2013.  Public distribution lists created for your organization ARE transferred.

To save your lists please:

Before the upgrade

1. Go to Address Book.
2. Find your personal distribution list and open it.
3. Click Forward Group and select As an Outlook contact.
4. Send it to yourself.

After the Exchange 2013 Upgrade

If you are using Outlook 2013

1. Open the email you sent to yourself.
2. Click the ... at the bottom of the screen.
3. Select Folders.
4. Int the sent email click the group files you sent yourself and drag it to your Contacts folder.
5. The group is now back in your contact list.

If you are using Outlook 2010

1. Open the email you sent yourself.
2. Click on the Public Folders icon in the bottom left hand of the screen.
3. In the sent email click the group file you sent yourself and drag it to ...

Rules

To save rules you previously setup in Outlook:
Instructions are for Outlook 2010 and 2013

1. Click Rules.
2. Select Manage Rules & Alerts...
3. Click Options.
4. Click Export Rules...
5. Save your rules.

When your Exchange 2013 SureMail account is ready, go to Outlook and:

1. Click Rules.
2. Select Manage Rules & Alerts...
3. Click Options.
4. Click Import Rules...
5. Select the file you saved earlier and click Open.
6. Click Apply.

Signatures

Signatures are kept in the same folder regardless of the Profile used, you just have to reactivate them through the following steps.

Once your Exchange 2013 SureMail account is setup, go to Outlook and do the following:
Instructions are for Outlook 2010 and 2013

1. Click New Email.
2. Click Signature -> Signatures...
3. And select the signatures you would like to activate for the "new email" and for "replies and forwards".
4. Next close the selection and discard the unused email.
5. When you create a new email and your signature will now appear.

To setup your Outlook program on your upgraded Exchange account requires you to back up your rules and personal distribution lists.  Complete this before the migration begins.

You must also configure your Outlook program after the upgrade and BEFORE using Outlook again.

Configuring your Outlook Program

Mail applet location

Mail Profiles can be managed via the Mail applet in COntrol Panel.  The exact location depends on your version of Windows and your layout settings of Control Panel.

Control Panel - Classic Layout

When you are using the Control Panel is in the classic layout, you should see the Mail applet directly in the list of icons. For a 64-bit version of Windows Vista, the icon would be listed in the View 32-bit Control Panel Items section.

Control Panel - Category View

when you are using the Control Panel in the Category View, you can find the Mail applet  in the following category:

• Windows XP: User Accounts
• Windows Vista: User Accounts
• Windows Vista 64-bit: Additional Options-> View 32-bit Control Panel Items
• Windows 7: User Accounts and Family Safety
• Windows 8: User Accounts and Family Safety

Once youve located and opened the Mail applet, you can recreate your mail profile via the following steps:

1. Press the button Add
   • Do NOT use Copy not even when you want to recreate your mail profile or youll end ...

1. If you already have an Outlook profile, you will want to add a new profile for your SureMail.
   
   *If you have not  previously setup an Outlook profile, launch Outlook and skip to step 8.
    
2. Go to Start -> Control Panel.
3. Click the Mail icon.       
4. Select Show Profiles...
5. Select Add...
6. Name the new profile (this should be different from the previous profile name).
7. Click Ok.
8. The next screen will allow you to setup your SureMail account automatically. On this screen you should enter your name, your email address and your SureMail password.
   
                                                              
   
   *You may not see this screen appear. Instead, you may see a screen to Connect Outlook to Office365. Click the blue Connect button on this screen, and skip to step 12.
    
9. Click Next.
10. A message will appear asking you to Allow this website to configure server settings. Select the Don't ask me about this website again checkbox, and then click Allow.
11. Outlook should now ask for your password again. Put in your SureMail password, and click Save Password.
12. Click Finish.

Two steps are required:
1. Remove an old Exchange account (if you have one) You can find instructions here.
2. Add a new Exchange account

To setup a new SureMail account:

1. Go to Menu.
2. Go to Accounts & sync settings.
3. Click Add account.
4. Select Exchange or, if Exchange is not available, Corporate.
5. Put in your email address in the Email field.
6. Leave the Domain field blank.
7. Put in your email address in the Username field.
8. The Server field should be webmail05.mycloudmailbox.com.
9. Password should be your SureMail password.
10. Make sure Requires SSL is selected.
11. Click Next.
12. When asked to approve access to your phone select say Yes.
13. You can choose how far back to sync your mail in the Amount to synchronize field and click Next.
14. Click on Done.

Each Exchange 2013 SureMail account has access to the SureMail Control Panel where users can view information about their accounts and view and edit spam settings.

SureMail Control Panel

To access your SureMail Control Panel go to https://admin05.mycloudmailbox.com/.

The SureMail Control Panel lists information about your SureMail account such as how much space you are using in your mailbox or how many devices your SureMail is setup on.

Spam Filtering

You can edit your anti-spam options by clicking on Edit anti-spam options under Tasks on the right hand side of the screen.

Spam filtering level

Every incoming email is filtered and given a score.  The higher the score the more likely is may be spam.  The settings determine which score level is sent to your inbox, junk folder or is blocked completely.

Whitelist and Blacklist

Whitelisting an email account will always allow the address to get through the spam filter.  Blacklisting an email account will always prevent the address from getting through the spam filter. 

After listing the email accounts you want to allow or block click Save.

Searching Spam

You can search blocked spam by clicking on Search spam on the right hand side of the screen.

1. Go to https://webmail.suretech.com/ and login with your SureMail username and password.
2. Select the Gear icon dropdown menu in the top right corner.

If you need to setup automatic replies for your SureMail you will first need to login to your Outlook Web App (OWA) at https://outlook.suretech.com/.

1. Once you login click on Options at the upper right hand corner and select Set Automatic Replies... from the drop down list.
2. In the Automatic Replies page, Don't send automatic replies should be selected and the rest of the screen is grayed out.
3. Click Send automatic replies:
   • Select Send replies only during this time period and choose a start time and end time.
   • If you do not choose a time period the automatic replies will be sent out indefinitely until Don't send automatic replies is selected.
   • Compose your message in the text box and format it in any way that you would like.
4. Once your message and message settings are setup you are done. Automatic messages will be sent out during the time period you set. To turn this off select Don't send automatic replies.

11. Click Next.
12. You can choose how far back to sync your mail in the Amount to synchronize field and click Next.
13. You can now fill in an account name and display name for the email account.
14. Click on Done.

If the automatic creation failed make sure you used the correct username and password. If it still does not work follow the below steps.
