when you are using the Control Panel in the Category View, you can find the Mail applet in the following category:

Windows XP: User Accounts

Windows Vista: User Accounts

Windows Vista 64-bit: Additional Options-> View 32-bit Control Panel Items

Windows 7: User Accounts and Family Safety

Windows 8: User Accounts and Family Safety

Once youve located and opened the Mail applet, you can recreate your mail profile via the following steps:

Press the button Add

Do NOT use Copy not even when you want to recreate your mail profile or youll end ...

For some users Microsoft Outlook 2013 can be an adjustment from the older versions of Office. Luckily there are various customization options that can make Outlook 2013 more comfortable to use.

Changing the theme

If you find Outlook is too bright, white or hard to look out you can change the theme with the following steps.

Go to File -> Office Account

There are two theme options to choose from:

Office Background changes the texture of ribbon at the top of the screen.
Office Theme changes the color theme of Outlook. There are only three choices White, Light Gray, and Dark Gray.

Navigation Strip

You can free up space by condensing the navigation bar.

The default navigation bar:

    Click Options
    Select Compact Navigation.

Disconnecting

Disconnecting leaves your SureDesk open and running so you can connect without launching the SureDesk again. You can leave programs running on your SureDesk. As long as you return to your SureDesk within the idle Log Off time window, all your programs and documents will still be running when you reconnect. If you do not expect to return within two hours your should either increase your Log Off time window by contacting support, or you should Log Off and not use disconnect.

There are several ways to disconnect:

You can go to the Citrix bar on top and click disconnect. This leaves your SureDesk open and running on our servers.
If your SureDesk is in windowed mode you can also disconnect by hitting the 'X' in the top right of your SureDesk.
In the Citrix web panel you hover over the Log Off button in the upper right hand corner. Click disconnect.

Logging Off SureDesk

Logging off completely shuts down the SureDesk similar to shutting down a regular computer. This will end the SureDesk session and end all programs that were running. If you expect to be gone for longer than two hours or are ending your work day please use this option.

To log off your SureDesk completely you will need to follow the following steps:

Click on Start Menu.

Files on the SureDesk and SureFiles

The SureDesk allows you to access files on the server from anywhere. The server drives are located under Network Location.

The S: Drive is a shared drive, everyone in your company has access to the S: drive, we call this SureFiles.

The U: Drive is a private drive, only you have access to these 'My Documents' and preference folders.

Files on your Local Computer

The drives under "Other" are the drives located on the computer you are physically using.

How to use the delegate feature

First you must make sure two things are true.

As the manager, your mail must be delivered to your mailbox on the Exchange server, not to an Outlook Data File (.pst) on your computer. This means your email account needs to be Exchange.

You and your delegate must use the same version of Outlook.

As the person granting permission, you determine the level of access that the delegate has to your folders. You can grant a delegate permission to read items in your folders or to read, create, change, and delete items. By default, when you add a delegate, the delegate has full access to your Calendar and Tasks folders. The delegate can also respond to meeting requests on your behalf.

When you run your SureDesk you might see a program called Microsoft Lync 2010. MS Lync is an instant messaging program that integrates with Microsoft Office and is included in your SureDesk subscription.

Microsoft Lync 2010 is a useful tool which allows employees communicate with each other easily. For example, instead of having to pick up a phone to ask a simple question you can send an instant message instead. This will save time for both the person asking the question and the person being asked. Microsoft Lync has many features which make it better than other messaging software.

These features include:

Integrated with other Microsoft Office programs so you can see whether other users are available, access your Outlook contacts and more.

Keeps records of all chat communication.

Can chat with users using other instant messaging programs.

You can learn more about Microsoft Lync at the Microsoft website.

If you are interested in having Microsoft Lync work with your SureMail please contact us at solutions@suretech.com.

Stopping Lync from Auto-launching

Cache Exchange mode vs. Online mode

Microsoft Outlook 2010 has two options in how the program stores your Exchange email account, online mode and cache mode. Cache mode stores a copy of your mailbox on your computer while online mode accesses your information directly from the Exchange server. Cache mode is intended to allow you to access your email while offline and online mode is usally faster. However on the SureDesk the two modes do not work as intended.

Online mode

Email search works.

Can casue freezing since Outlook has to constantly connect to our servers.

Note

An alternative to searching in Outlook is to go to https://outlook.suretech.com/ and login to your email account. You can search your inbox through there.

Cache mode

Search doesn't really work.

Outlook does not tend to freeze since the program.is accessing a .ost file located on the SureDesk.

We generally recommend using cache mode as it is more stable and you can alternatively search your inbox at https://outlook.suretech.com/. Fixing this issue is a top priority for the SureTech team.

Changing modes

Changing the mode is simple.

Launch Outlook 2010 and select File.

Click Account Settings.

Select your email account and then select Change...

Make sure Use Cached Exchange Mode is checked if you would like to use chace mode or unchecked if you would like to use online mode.

Relaunch ...

If you are disconnected from your SureDesk you can experience issues getting back in if you are not careful.

If you believe you have a SureDesk session already running when you log into the Citrix Web Panel you should never click the SureDesk icon or any app icons. Many problems will result, including rendering your SureDesk inaccessible.

What may happen:

You may receive an error message preventing you from launching the SureDesk.
The SureDesk launches but no programs you had running prior to the disconnect are open.

If you believe you have multiple sessions open you can contact the SureTech.com HelpDesk for assistance at solutions@suretech.com or give us a call at 800-882-8701.

Prevention

The SureDesk session should open automatically when logging into the Citrix Web Panel if you are using Internet Explorer.

If you do not use Internet Explorer or the SureDesk session did not launch automatically you can hover your mouse over the Log Off button in the upper right hand of the screen and select Reconnect.

If the Reconnect button does not work you will need to click on the My SureDesk Workstation button. If you tried the above steps it is unlikely you will create multiple sessions.

With the increasing frequency of heavy storms in the Northeast, we want to ensure our customers have some good steps for Business Continuity in face of storms.

In preparation for power loss we recommend that you:

- Power down all workstations, printers, scanners, etc.

- Unplug any equipment if not plugged into a surge protector

- If flooding is a possibility, take all electronics off of the floor

- Perform or enforce an offsite backup to ensure your data exists outside your place of business.

- Move essential services away from windows.

- If you have a UPS unit or generator, test these units before the end of today. If units fail, take appropriate actions to eliminate load.

- Check the fuel level of your generator.

SureOffice Products including SureMail, SureDesks and SureBack should not be impacted by storms in our secure data centers.

As always, we appreciate any introductions to businesses we might help Kick IT to the Cloud anytime.

The American Red Cross offers great overal tips for Storm Preparedness.

And CSO Magazine has a thorough discussion of all Business Continuity planning you should think about.

We are proud that all of our SNAP Certified Clients had minimal downtime during the latest storm and more importantly came back online without a hitch when power was restored!

A network interruption at your location, at our datacenter, or even somewhere in-between will cause the connection to your SureDesk to 'hiccup' or 'stall'. If the interruption is longer than a few instants, you may find your SureDesk becomes unresponsive and you may see the above message.

What you should do:

Relax for a minute except for local network issues, internet or datacenter interruptions are rare (a dozen times a year perhaps) and most often resolve themselves quickly (within seconds usually or 5-10 minutes at the most).

Do nothing during the interruption the more you click during the interruption the more the SureDesk needs to do before it becomes functional again. Try to reduce the queue of commands when there seems to be an interruption.

Troubleshooting Problems with Microsoft Outlook Add-Ins

Third-party add-ins (such as desktop antivirus scanners) cause a disproportionately high number of connection-related issues in Outlook.

The easiest way to test this is to start Outlook in safe mode, which disables all add-ins. To do this, shut Outlook down completely, by choosing File Exit, and then hit Ctrl-Alt-Delete to enter the Task Manger. From there, click the Processes tab, and terminate any processes called OUTLOOK.EXE. Next, go to Start Run, and type in outlook.exe /safe. (Note that there MUST be a space character between outlook.exe and /safe.)

If running in Safe Mode fixes whatever connection issue you were having, the next step is to restart Outlook normally and start disabling or removing Add-Ins. There are two areas youll need to check COM+ Addins, and Exchange Client Extensions. These are accessed differently on Outlook 2007 and Outlook 2003.

For Outlook 2010: Go to File Options Add-ins. Click the Go button thats located towards the bottom of the window.

For Outlook 2007: From within Outlook, navigate Tools Trust Center Add-ins. Towards the bottom, choose COM Add-ins and click Go.

For Outlook 2003: Within Outlook, choose Tools Options, and then click the Other tab, and then the Advanced Options button. Towards the bottom of the screen youll see a button labeled COM Add-Ins. Click that.

Youll get to a window with a number of Add-ins listed:

Safe Internet Browsing Tips

A growing source of infections is the "Drive by Download." A DBD capitlizes on security defects in your browser and actually allows a "trojan" to be installed on your computer just by visiting a website and then the malware can go on to infect your computer.

This usually happens with very high traffic sites. For example, the Nobel Peace Prize site was hacked and caused infections. Click here for more information.

To protect your computer, it is important to keep all security patches up to date for your browser. SureTech.com automatically knows about patch updates needed through our remote monitoring service and will then install updates as needed.

More information about safe practices can be found here.

Malware Can Affect Macs Too

A few rules of thumb to avoid spam traps:

Look at the email address a message is coming from and never open attachments unless you know for sure what they are before you click on any links or attachments in an email.

Avoid unnecessary slow usage and Outlook crashes by making sure you are using Outllook as optimally as possible.

It's the item count not the size that matters. Having a large number of items in a folder will mean that Outlook will open slower and any operations in that folder will take longer (so long that it may seem like Outlook has crashed since it seems frozen).

Overall Outlook performance is largely influenced by the number of items in the heavily used folders. Inbox, Deleted Items and Sent Item folder are the primary folders where large amount of items will disrupt performance. Calendar, Contacts, and any other folder that is heavily used can also disrupt performance.

The Microsoft Exchange Team recommends no more than about 2500-5000 items in any folder. If you have more than 5,000 items in your inbox, for example, you can have unpredictable results depending on how you use Outlook.

You can improve Outlook performance by creating new top level folders or sub-folders (See Fig. 1) and moving items from the heavily used folders into these new folders. Remember not only can you can create subfolders in the Inbox but you can also create subfolders in Sent Items and Deleted Items for better organization.

Most IT Budgets just maintain your status quo

In this age of constant change why do most budgets contain very little room for improving efficiency and communications?

Because most IT budgets are maintaining 90% of what they don't need to get the 10% the actually use.

SureTech.com's mission is to allow you to share the basic infrastructure that doesn't provide core value to your business, and allow you to focus your budet on the innovation and efficiency that let's you be the best in the world at what you do, instead needing each of our customers to also be best in the world at managing equipment and networks.

What is the True Cost of my IT?

Our goal is to eliminate break/fix to the greatest extent possible.

Complexity and Onsite Maintenance are EXPENSIVE

The vast majority of IT costs for the typical organization are related to emergency repairs and the labor, equipment and primarily, lost productiviyt costs associated with a system not functioning optimially.

Proper maintenance to try to minimize repair costs is the next greates IT expense.

The equipment that most companies associate with IT costs is actually the smallest component of an overal IT cost.

The first place to focus therefore is on the biggest cost - inefficiency or instability in your systems.

Simplify and Outsource

The absolutely biggest cost factor, and source of instability, is simply in maintaining networks and equipment communications.

These days a CPU or most individual computer components are pretty simple. They are designed to do the same thing over and over with extremely low failure rates.

The source of 90% of failure points is in the connection between components or the configuration of components.

90% of these connections and configurations are standard infrastructure that not only has to be set up UNDERNEATH most business services, but they need CONSTANT MAINTENANCE and updates as different components are continually upgraded and as technology evolves.

What your business actually uses, in other words, is the last 10% of the cost which is the applications and data with which your company interacts.

So why would you figure out how to mine coal, store it, burn ...

The SureDesk needs a certain amount of internet speed to perform optimally. If you are finding your SureDesk is slow go to www.suretech.com/speedtest and click .

The SureDesk is a streaming movie of your cloud PC and the download speeds need to be over .7 Mbps per user or freezes will occur as the SureDesk waits for an update.

The Ping time should be under 80ms and typically the SureDesk becomes unusable much over 100ms because your connection will continually seem to be interrupted as the SureDesk waits for commands to reach the cloud.

Computers are not quite like TVs - when you turn them on, you actually interact with your computer in many ways. This takes some training, both for the computer and for you.

For our part the SureDesk is a balancing act to find the optimal balance between four separate goals: performance, cost efficiency, flexibility and security. Our commitment is to provide solutions that to the greatest extent possible provide the best of each of these goals.

Most of you will have had years of training with your physical PCs, Macs and Laptops. We've worked very hard to make the SureDesk as similar as possible, but it's just a little bit different in some ways and a little bit the same in others.

The better you can understand the SureDesk, the better the experience is likely to work for you.

Please keep in mind:

Windows Domain and Workgroup Definition

A Windows Server domain is a logical group of computers running versions of the Microsoft Windows operating system that share a central directory database. This central database (known as Active Directory starting with Windows 2000[1], also referred to as NT Directory Services on Windows NT Server operating systems, or NTDS) contains the user accounts and security information for the resources in that domain. Each person who uses computers within a domain receives his or her own unique account, or user name. This account can then be assigned access to resources within the domain.

In a domain, the directory resides on computers that are configured as "domain controllers." A domain controller is a server that manages all security-related aspects between user and domain interactions, centralizing security and administration. A Windows Server domain is normally more suitable for moderately larger businesses and/or organizations.

Windows Workgroups, by contrast, is the other model for grouping computers running Windows in a networking environment which ships with Windows. Workgroup computers are considered to be 'standalone' - i.e. there is no formal membership or authentication process formed by the workgroup. A workgroup does not have servers and clients, and as such, it represents the Peer-to-Peer (or Client-to-Client) networking paradigm, rather than the centralised architecture constituted by Server-Client. Workgroups are considered difficult to manage beyond a dozen clients, and lack single sign on, scalability, resilience/disaster recovery functionality, and many security features. Windows Workgroups are more suitable for small or home-office networks.

A domain does not refer to a single location or specific type of network configuration. The computers in a domain can share physical proximity on a small LAN or they can be located in different parts of the world. As long as they can ...

This site has two ways of recognizing members, with email/name insecure authentication and stronger email/password authentication.

Any time you make a new post or click on the "manage my subscriptions" from an email, you are logged into this website insecurely, by using your email and full name only.

This easy and insecure way of logging in is available to let users post easily, without setting a password and also to allow a user to easily manage subscriptions from email newsletters without requiring a complicated password setup process.

Email/name combinations for many people are easy to guess, however, such as John Doe and john.doe@xyzcompany.com.

We therefore restrict what can be done with this insecure authentication.

To login securely you will need to relogin using a secret password in addition to your email address. This password can only be discovered by using the main email address we have on file with your user account.

Instructions login securely and to set or reset your password can be found here.

If your Blackberry is activated on a Blackberry Enterprise Server, it has the ability to wirelessly synchronize the contents of your main Outlook folders, including any mail-enabled folders (like your Inbox or Sent Items folders), your Contacts folder and any of its subfolders, and your Calendar, Tasks, and Notes folders. This is a significant improvement over the standard Blackberry Internet Service functionality, which only allows for synchronization of your Inbox and its subfolders.

The process of configuring your device for Enterprise Service is called Enterprise Activation. The activation portion is performed on your device and requires only your email address and a single-use activation password, which we provide you with after youve requested enterprise service with us.

Note: The activation password that we send you via email expires after 48 hours, so if it has been longer than that since youve received it; please contact us for a new one.

Before you begin, check the following to prevent any potential problems.

1. Correct Service

2. Backing up and Blackberry Desktop Manager

You will need to make sure the information on your Blackberry is backed up, and make sure your Blackberry Desktop Manager will not interfere with the process.

I. Ensure that you are securly connected to SureFiles

Before you begin insure your Secure Connection to SureFiles is connected. To determine your connection is established you will see the following "lock icon" in your taskbar:

Any mail that has obviously been forwarded as a chain letter warning of just about anything, even if the warning is true is almost guaranteed to be some specie of SPAM. Sometimes messages like this refer to partially true threats, but the goal of the originator of the message is to get many people to forward the message which creates at best a an annoying kind of virus effect. Sometimes messages like this contain attachments of links that are harmful payloads themselves.

Basically any time an email says PLEASE FORWARD THIS, it is very likely to be misleading, false or worse.

The only way for an average user to know of a new severe particular threat is to read it in the mainstream media or from your technology team.

In conclusion the message should be ignored, but the general rule that you should never open attachments that you are not very sure about holds true. Very sure means you know the sender and ALSO recognize BOTH the email message and the attachment as a legitimate communication from the sender.

If any of the sender, the message or the attachment dont make sense the instructions below apply. But because of the state of SPAM these days, mass forwarding of email is almost never an effective way of communicating this information or any information unfortunately.
